Manage Files
Upload and organize files that Agent X uses to answer questions about your organization.
Files can be assigned to specific roles to control access and ensure users only see information relevant to them.
Uploading Files
- Open the Files tab on the Agent X page
- Click Upload file button
- Select files from your computer (up to 300MB each)
- Assign to role(s):
- Select which roles can access this file
- Multiple roles can be assigned
- Leave unassigned for organization-wide access
- Files are indexed and ready for Agent X to use
Role-Based Access
How It Works
- Each file can be assigned to one or more roles
- Only users with matching roles can access those files
- Agent X only uses files the user has permission to see
Available Roles
member— General organization memberssales_admin— Sales administratorssales_engineer— Sales engineering teamsales_manager— Sales management
Use Cases
- Sensitive documents — Assign to specific roles only (e.g., financial reports to
sales_admin) - Team-specific files — Assign to relevant roles (e.g., technical specs to
sales_engineer) - Public knowledge — Leave unassigned for organization-wide access
Supported File Types
Agent X supports common document formats:
- Documents: PDF (
.pdf), Word (.doc,.docx), Text (.txt), Markdown (.md) - Spreadsheets: Excel (
.xls,.xlsx), CSV (.csv) - Data: JSON (
.json)
Other formats may not be indexed or searchable.
Managing Files
View Files
- See all files you have access to
- Each file card shows:
- File name and type
- Assigned roles
- File size
Edit Access
- Click Edit on any file card
- Change which roles can see the file
- Add or remove role assignments
- Changes take effect immediately
Delete Files
- Click the info icon (ⓘ) on file card
- Select delete option
- Permanently removes file from Agent X's knowledge base
How Agent X Uses Files
When you ask Agent X a question (via the Search Uploads tool, or when it decides a file search is relevant):
- Agent X checks which files you have access to (based on your roles)
- Searches only those files for relevant information
- Answers using context from files you're permitted to see
This ensures users only get answers based on information they should have access to.
Best Practices
Organization
- Use clear, descriptive filenames
- Group related files by role assignment
- Keep files up to date — remove old versions
Security
- Assign sensitive files to appropriate roles only
- Audit file access periodically
- Don't upload credentials, API keys, or personal data
Content Quality
- Upload structured, well-formatted documents
- Avoid duplicate information across files
- Keep file sizes reasonable (under 10MB per file recommended)
File Size Limits
- Maximum file size: 300MB per file
- Recommended: Keep files under 10MB for optimal performance
- Large files take longer to index and search
